Terms & Conditions
1. Agreement Overview
By placing an order with Reid’s Fine Foods (“Caterer”), the client (“Client”) agrees to the following Terms & Conditions. These terms apply to all catering services including delivery, pickup, and full-service events.
2. Services Offered
Reid’s Fine Foods offers a full range of catering services, including: Full-service catering with professional staff (servers, bartenders, chefs). Delivery and on-site setup. Pickup catering orders. Buffet, plated meals, cocktail receptions, and hors d’oeuvres. Custom menus for corporate events, weddings, and private gatherings. Menus are seasonally inspired and may be customized based on Client preferences and ingredient availability.
3. Booking & Deposit
A 50% non-refundable deposit and signed agreement are required to secure your event date. Events are not confirmed until both deposit and agreement are received. Dates are reserved on a first-come, first-served basis.
4. Payment Terms
Final payment is due 7 days prior to the event date. For events booked within 7 days, full payment is required at booking. Accepted payment methods include major credit cards, ACH transfer, and approved business checks. Late payments may result in cancellation or additional fees.
5. Guest Count & Final Details
Final guest count, menu selections, and event details are due 10 days prior to the event. After this deadline: Guest counts may not be reduced Increases may be accommodated based on availability Final confirmed guest count will be used for billing purposes.
6. Menu & Product Availability
All menus are subject to seasonal availability and market pricing. Reid’s Fine Foods reserves the right to make substitutions of equal or greater quality if necessary. Custom menus and specialty items may require additional lead time and pricing adjustments.
7. Service Style & Staffing
Staffing levels are determined based on guest count, service style, and event logistics. Standard staffing rates (subject to change): Service staff: $35/hour (4-hour minimum), Bartenders: $40/hour (4-hour minimum), Chefs/carving attendants: $45/hour (4-hour minimum). Setup and breakdown time is included in staffing hours. Extended service hours will be billed accordingly.
8. Rentals & Equipment
Unless otherwise specified, Client is responsible for: Tables, chairs, linens, china, glassware, and flatware. Reid’s provides serving equipment and display pieces as needed for food service. Rental coordination can be arranged upon request for an additional fee.
9. Alcohol & Beverage Service
Alcohol service must comply with all North Carolina state laws. Client may provide alcohol or request bar service through Reid’s. If alcohol is served: A licensed and insured bartender from Reid’s is required Valid ID is required for all guests consuming alcohol Reid’s reserves the right to refuse service to intoxicated guests.
10. Delivery & Setup
Delivery fees are based on distance, order size, and staffing requirements. Standard delivery within the Charlotte area starts at $50+. Client must ensure: Adequate access to venue. Setup space and conditions (tables, power if needed) Additional fees may apply for stairs, long distances, or limited access venues.
11. Service Charge & Gratuity
A 20% service charge will be applied to all full-service events. This charge covers administrative, operational, and staffing coordination costs. Gratuity is not included and is left to the Client’s discretion.
12. Cancellations & Refunds
All deposits are non-refundable. Cancellation policy: More than 14 days prior: deposit retained, no additional charges. 7–14 days prior: 75% of total invoice due. Less than 7 days: 100% of total invoice due. Cancellations must be submitted in writing.
13. Liability
Reid’s Fine Foods is not liable for delays or failure to perform due to circumstances beyond control, including but not limited to: Weather, Traffic delays, Venue restrictions Acts of God. Client is responsible for any damage to catering equipment caused by guests.
14. Food Safety & Handling
Reid’s maintains all required food safety standards during preparation and service. Once food is delivered or service concludes, Reid’s is not responsible for food safety or quality. Leftover food may be taken at the Client’s discretion but is not recommended for extended storage.
15. Dietary Restrictions & Allergies
Clients must notify Reid’s of any dietary restrictions or allergies at least 10 days prior. While precautions are taken, Reid’s operates in kitchens that handle common allergens and cannot guarantee allergen-free products.
16. Event Changes
Changes after the final deadline may incur additional charges. Reid’s will make reasonable efforts to accommodate last-minute requests based on availability.
17. Force Majeure
Reid’s Fine Foods shall not be held liable for failure to perform due to events beyond reasonable control, including natural disasters, government regulations, or emergencies.
18. Acceptance
By signing the catering agreement or submitting payment, the Client acknowledges and agrees to these Terms & Conditions.
